The short version
Welcome Sign Web collects the minimum needed to build and look after websites for small businesses. We do not sell personal information, we do not run advertising, and we do not share your details with anyone except the service providers that host and deliver our work.
What we collect, and why
Depending on how you deal with us, we may hold:
- Contact details you send us (name, business name, email, phone, website address) so we can reply and build your preview.
- Business information you give us for your site (text, hours, services, prices, logo, photos). It is used only to build and update your site.
- Publicly available information about your business (your existing website, public listings) when we prepare a preview before you have spoken to us.
- Email correspondence, which we keep so that change requests, approvals and support history are on record.
- Billing details handled by our payment processor. We never see or store full card numbers.
- Standard web server logs for the sites we host, such as IP address, browser type and pages requested, kept by our hosting provider for security and reliability.
Contact form on this site
The form on this site opens your own email program with the details filled in; nothing is stored on this website when you use it. Your message reaches us as an ordinary email.
Outreach email
We sometimes email business owners whose public website appears to be missing or out of date, from a business address on our own domain. Every such email identifies us, includes our postal address, and tells you how to opt out. Reply with the word "unsubscribe" and you will not hear from us again; the address is added to a suppression list we keep for that purpose.
Service providers
We rely on a small number of providers to run the business:
- Google (Workspace for email, Firebase Hosting and Cloud for hosting websites and previews).
- Cloudflare (domain registration and DNS).
- Stripe (payments and invoices).
- AI tools from Anthropic and open-source models run on our own hardware, used to draft site content and emails. Drafts are reviewed by a person before they are used. We do not use your information to train models.
How long we keep information
Prospect details are kept while we are in contact and for a reasonable period afterwards so we do not contact you again if you asked us not to. Client information is kept for the life of the service and for the period required for tax and accounting records, then deleted.
Your choices and rights
You can ask what we hold about you, ask us to correct it, or ask us to delete it by emailing john@welcomesignweb.com. If you are a California resident, you have the rights described in the California Consumer Privacy Act, including the right to know, delete and opt out of sale (we do not sell personal information), and we will not treat you differently for exercising them.
Children
Our services are for businesses and are not directed at children under 16. We do not knowingly collect information from them.
Changes
If this policy changes in a meaningful way, we will update the date above and, for clients, tell you by email.
